How booking 3 months in advance helps Sovereign Play manage over 15 install teams without the last-minute scramble.
Plans can change overnight on a playground install. For Sovereign Play, that means 1,000+ orders delivered on time in a year, an urgent request booked in 14 minutes, and off-hires confirmed in under 30 seconds from one dashboard.
As soon as Sovereign Play wins a tender for a new playground, the plant and materials are booked, often three months out. That habit takes the pressure off long before the installation team arrives on site. It also means that when something shifts on site, sometimes with little warning, there’s a supply chain ready to react just as fast. That’s proved true across more than 1,000 orders with YardLink in the past year alone, every one of them delivered on time, in full.
Sovereign Play: the team behind 16,000 playgrounds nationwide
Sovereign Play has over 30 years of experience designing and installing playgrounds and outdoor learning spaces across the UK, with deep expertise in education. They’ve delivered more than 16,000 installations nationwide, spaces built to get children moving, build confidence, and help them make friends through play.
No two days the same
At any given time, Sovereign Play runs 19 installation teams and 3 surfacing teams. Between them, hundreds of hire items move across sites: Heras fencing, mini diggers, skips, and portable welfare units. Site managers and workers rely on every single one landing on time. No two days look the same. A job might take half a day, a single day, or four weeks straight, with multiple jobs on the go at once.
Booked months out, so the job takes care of itself
Booking hire, materials and skips used to mean going it alone. It meant chasing quotes from individual suppliers, managing separate orders, POs and paperwork for each one, and piecing together visibility with no single source of truth. When something came up reactively, there was also the question of who to call, who to trust, and who would actually deliver. Now, for Maria Stebbings, Sovereign Play’s Production / Hire Senior Assistant, it’s just one team. Behind that team sits a network of more than 1,000 suppliers across 2,400 depots UK-wide. All jobs sit on the YardLink dashboard, booked and waiting, until the installation team is ready to go.
“The sooner I get everything booked, the sooner everything is prepared and ready for the job. Once it’s all sorted, I can focus my attention on other jobs until this one is ready to start.“

Ready before the crew arrives
Sovereign Play’s crews are on site by 8am and can’t start work until their equipment arrives, so idle time hits the job straight away. Because the kit is already booked, Maria sends delivery details and ETAs the evening before, so site teams have everything ready for the next morning. Wherever possible, equipment lands up to 48 hours early, on site before anyone starts work.
“The ETAs are crucial because we have guys on site who can’t start work until they have the necessary equipment. The longer it takes for the equipment to arrive, the longer it takes for them to get started, which can have a knock-on effect and potentially cause the job to run over .”

When the job changes overnight
Even with months of planning, urgent demand still creeps in around peak periods, especially school holidays, when timelines tighten and jobs need to move quickly. That’s the predictable pressure. The harder test is when a single job changes without warning. Long stretches can pass with nothing to change on a project, then something shifts overnight, because of an issue on site completely out of Sovereign Play’s control. The pressure returns fast. If equipment doesn’t arrive on site in time, the job is delayed. If the crew can’t do the work, they have to be pulled off site altogether, which costs money. That’s why they rely on the team behind the platform to move just as fast.
“Even though we place our orders months in advance, things can change, and when they do, we need a team that can react quickly. That’s exactly what the YardLink team does. They’re always quick to respond to our requests, and it really shows that they care about supporting us and doing the best they can for us.“

That kind of speed isn’t a one-off. Across the account, the average response time to urgent requests sits in minutes, not hours. On one occasion, Sovereign Play sent an urgent request for a portable toilet through to YardLink at 9:30am. Fourteen minutes later, the order was booked and the unit was delivered to site later that same day.
Every live-hire and off-hire, in one place
With hundreds of projects a year, Sovereign Play needs to know what’s on site, what’s due back, and what it’s costing, all without leaving the dashboard. That visibility isn’t a nice to have. It’s what keeps the whole process running smoothly.
“If anyone on my team ever has a question about a project, I can simply point them to the YardLink dashboard. Everything they need is right there in one place, making it easy for them to find the information they need .”

Off-hiring, once spending a long time each week of emailing suppliers and waiting for a reply, now takes seconds on the dashboard. What used to take half an hour by email is done in seconds through the portal.
“We’d be lost without the off-hire feature in the dashboard. It’s so easy to use and gets things moving straight away. I simply click the off-hire button, and within seconds I receive an email confirming it’s been off-hired. The whole process takes less than 30 seconds from clicking the button to getting confirmation. It really couldn’t be easier .”

The partnership keeps growing
The partnership between Sovereign Play and YardLink has grown steadily. Plant, waste, materials and welfare, once split across a scattered set of suppliers, now sit within one platform. Having seen that reliability hold up project after project, they’re expanding the relationship again this year, with a commercial waste contract covering weekly collections from their own office and yard.
“The team genuinely feels like a work family. We support each other, have a good laugh along the way, and work really well together. It’s a great team environment, and it’s a real pleasure to work with everyone .”
